This Privacy Policy explains how we collect, use, disclose, and safeguard personal information when you visit https://kigitz.com (the “Site”), engage Kigitz for internal finance operations, bookkeeping, reporting, analytics, automation, or related services pursuant to a services agreement (the “Services”), or otherwise provide personal information to us outside the context of the Site or a services agreement.

Personal information may be provided to us in various contexts, including through the Site, during the onboarding process, in connection with the delivery of Services under a services agreement, or through other communications with us. Regardless of how personal information is provided, this Privacy Policy governs our collection, use, disclosure, and retention of such information. For details regarding specific service providers, AI model providers, or other technology tools used in the delivery of the Services, please contact us using the information provided below.

By accessing the Site, using our Services, or providing personal information to us, you consent to the collection and use of personal information in accordance with this Privacy Policy.


1. Information We Collect

A. Information You Provide

We may collect information that you voluntarily provide, including:

  • Name
  • Email address
  • Phone number
  • Company name
  • Information submitted through contact, inquiry, or onboarding forms
  • Financial, accounting, or operational data provided in connection with our Services

You are not required to provide personal information to browse the Site.

B. Automatically Collected Information

When you visit the Site, we may automatically collect:

  • IP address
  • Browser type and version
  • Device and operating system information
  • Pages viewed, time spent, and referring URLs

This information is collected using cookies, analytics tools, and server logs.

C. Personal Information of Other Individuals

To the extent you (or your users) provide us with, make available in connection with the Services, or upload data that includes the personal information of another individual, you represent and warrant that you have that individual’s consent to provide us with their information to use in accordance with this Privacy Policy, our Services, and our Terms of Use, which are available online at https://kigitz.com/terms. If you do not have their consent, you agree not to upload or provide us with any such personal information.

D. Bookkeeping and Financial Data

In providing our Services, we may collect, access, or process the following types of financial and business data on your behalf:

  • Bank account transaction data and credit card transaction data (via connected feeds or manual upload)
  • Invoices, receipts, and supporting documentation
  • Chart of accounts, journal entries, and general ledger data
  • Payroll summaries and employee compensation data (where applicable)
  • Tax-related summaries prepared for coordination with your licensed tax professionals
  • Any other financial or operational data you provide or authorize us to access through your accounting systems

This data is collected and processed solely for the purpose of delivering the Services.


2. How We Use Information

We use collected information to:

  • Respond to inquiries and communicate with you
  • Provide Services to you
  • Provide and support internal finance operations and related Services
  • Maintain, operate, and improve the Site and Services
  • Support automation, analytics, dashboards, and AI-assisted workflows
  • Monitor usage patterns and system performance
  • Maintain security and prevent misuse
  • Comply with legal and regulatory obligations

We do not sell personal information.


3. Use of Automation, AI, and Technology Tools

3.1 Bookkeeping Essentials (Standard Services)

In providing its standard Bookkeeping Essentials services, Kigitz may use automation, analytics systems, and internal tools to support finance workflows, transaction categorization, bank reconciliations, and reporting. These tools are used by Kigitz personnel to deliver the Services.

3.2 Clarity Add-On (AI-Enabled Services)

Kigitz offers an optional add-on service called “Clarity,” which includes Kigi (an AI Assistant) and related KPI Dashboards (collectively, the “AI-Enabled Services”). Clarity is a separate, elective offering that you may subscribe to in addition to the Bookkeeping Essentials package. If you do not opt in to Clarity, the AI-Enabled Services described in this Section 3.2 do not apply.

Where you elect to use the AI-Enabled Services, Kigitz will integrate with third-party artificial intelligence, large language model, and natural language processing providers (“AI Providers”) to deliver features such as:

  • KPI Dashboards displaying key performance indicators and financial metrics derived from your bookkeeping data;
  • Kigi – AI Assistant, a text-based AI messaging service that permits you to interact with and query your financial data through natural language;
  • Financial summarization, reporting assistance, and chatbot-generated responses based on your financial records.

3.3 Information Shared with AI Providers

By opting in to the AI-Enabled Services, you acknowledge and consent to the sharing of your data, and underlying personal information, with AI Providers for the purpose of delivering the AI-Enabled Services. The information transmitted to AI Providers may include all financial information associated with your account, including, without limitation:

  • Transaction records, account balances, invoices, receipts, and financial statements;
  • Personal information and personally identifiable information (“PII”) embedded within your financial data, including but not limited to the names, salaries, wages, dividends, bonuses, and other compensation of employees, directors, shareholders, and other individuals reflected in your books and records; and
  • Any other information contained in your bookkeeping records that is processed through the AI-Enabled Services.

AI Providers currently include Anthropic, PBC, OpenAI OpCo, LLC, and/or their affiliated and related entities worldwide, and/or similar AI or large language model providers as may be used by Kigitz from time to time.

3.4 AI Provider Terms and Data Practices

Each AI Provider operates under its own terms of service and privacy policy, which govern how that AI Provider accesses, processes, stores, and uses data transmitted to it. By opting in, you acknowledge and agree that:

  • AI Providers may access, process, and retain your data in accordance with their own terms and privacy policies;
  • Depending on your circumstances, the specific AI Provider used, and the terms applicable to that AI Provider at the time of use, AI Providers may use your data — including financial information and any PII embedded therein — to train, improve, or fine-tune their artificial intelligence models and systems;
  • Kigitz does not control the data handling, retention, or training practices of AI Providers and is not responsible for any use of your data by an AI Provider that is permitted under that AI Provider’s own terms and policies; and
  • You are responsible for reviewing the applicable AI Provider’s terms and privacy policy to understand how your data may be used.

If you wish to know which AI Provider is being used in connection with your account, or if you wish to review the applicable AI Provider’s terms of service and privacy policy, you may contact Kigitz at any time to request this information.

3.5 AI Disclaimers

AI-assisted outputs are generated based on available data and are provided for informational and internal management purposes only. Kigitz does not guarantee that AI-generated outputs will be accurate, complete, or suitable for tax filing, compliance, or external decision-making. In addition, AI-generated outputs may share personal information and PII with the end-user, including for example, salary information. It is your obligation to ensure only appropriate end-users have access to the AI-Enabled Services.

You may request that certain AI-assisted features be limited or disabled, subject to operational feasibility.


4. Cookies and Analytics

By using our Site, you consent to our use of cookies. Cookies are small text files sent to and automatically downloaded by your web browser when you visit our Site. A cookie file is stored in your web browser and allows our Site and third-party providers to recognize you and track your activity.

Cookies can be “persistent” or “session” cookies. Persistent cookies remain on your device when you go offline, while session cookies are deleted as soon as you close your web browser.

We use cookies and similar technologies to:

  • Analyze website traffic and usage patterns
  • Understand visitor behavior
  • Improve functionality and performance
  • Remember choices you have made on the Site

5. Legal Bases for Processing (EEA Visitors)

Where applicable under the General Data Protection Regulation (GDPR), we process personal data based on:

  • Consent
  • Performance of a contract or pre-contractual request
  • Legitimate business interests
  • Compliance with legal obligations

6. How We Share Information

We do not sell personal information.

We may share or process information only as necessary to provide the Services, including with third-party service providers (“Subprocessors”) that support:

  • Cloud hosting and infrastructure
  • Accounting software integrations
  • Communications platforms
  • Analytics, automation, and AI functionality

Subprocessors may include, but are not limited to, providers such as Google Workspace, Coefficient, Twilio / WhatsApp, and AI model providers (see Section 3 above for details).

If you are an active client of ours, you may request a full list of Subprocessors who may store your personal information in connection with the use of our Services.

Payment Processing

We may collect credit card and payment information from you via a third-party payment processor. As of the last date this Privacy Policy was updated, we use Stripe, Inc. and its affiliates as our payment processor. Their privacy policy is available at https://stripe.com/en-ca/privacy. Although we may host payment forms on or in connection with our Site, when you provide your payment details, you are providing them to the applicable payment processor. While we will not have access to your entire credit card number, we may have access to certain card and payment details such as the name on your card, billing address, and card expiration date.

Sharing Personal Information if Our Business is Acquired

We may share personal information with our successors if our business, the Site, or the Services are acquired by another legal entity, or with any assignee of our assets relating to the Site and Services.

6.1 Sharing Personal Information if Required by Law

We may share personal information and any content collected, uploaded, or provided to us if required by law, such as in response to a subpoena, court order, or other legal process in any jurisdiction. If we are required by law to make any disclosure of your personal information or content, we may, but are not obligated to, provide you with written notice of such disclosure, if permitted by law.

Absent a court order, subpoena, or other legal requirement to disclose personal information, PII or other information in our possession or control, you agree that we may also share such information to cooperate with law enforcement authorities in the investigation of any criminal matter if we reasonably believe doing so is necessary or beneficial in protecting your safety, or the safety of any third party.


7. Data Security

We implement commercially reasonable administrative, technical, and physical safeguards appropriate to our role as a service provider when we are engaged to perform Services.

While we implement reasonable safeguards, no system is completely secure. Kigitz cannot guarantee absolute security, but will take appropriate steps consistent with applicable law in the event of a confirmed breach.

YOU ACKNOWLEDGE THAT WHEN SHARING PERSONAL INFORMATION ONLINE, THERE IS ALWAYS A RISK OF DATA BREACHES, INCLUDING DATA BREACHES IN WHICH THIRD PARTIES UNLAWFULLY ACCESS OUR SYSTEMS, OR THE SYSTEMS OF OUR THIRD-PARTY PROVIDERS, WHICH STORE PERSONAL INFORMATION.

WHILE WE TAKE MEASURES TO PROTECT PERSONAL INFORMATION AND PII, YOU AGREE THAT, TO THE FULLEST EXTENT PERMITTED BY LAW, IN NO EVENT WILL WE, OUR AFFILIATES, OFFICERS, DIRECTORS, SHAREHOLDERS, EMPLOYEES, CONTRACTORS, AGENTS, THIRD-PARTY PROVIDERS OR LICENSORS BE LIABLE, HOWSOEVER CAUSED, INCLUDING BY WAY OF NEGLIGENCE, FOR THE LOSS OR THEFT OF YOUR PERSONAL INFORMATION OR ANY DAMAGES CAUSED AS A RESULT THEREOF, SO LONG AS WE WERE NOT DIRECTLY AND GROSSLY NEGLIGENT IN THE PROTECTION OF SAID INFORMATION.


8. AI and Third-Party Technology Risk

Because Kigitz may use third-party AI and cloud-based systems, your information may be processed or transmitted through external infrastructure in order to deliver automation or AI-assisted functionality.

While Kigitz takes reasonable steps to select reputable providers, Kigitz cannot control all third-party data handling practices. If you have heightened confidentiality requirements, you should contact Kigitz to discuss opt-out or alternative workflows.

Third-party service providers used in connection with the Services, including AI model providers, have their own data handling, retention, and AI training practices and policies. It is your responsibility to review the privacy policies and terms of use of such third-party providers to determine whether and how those providers may use data, including for model training purposes. If you wish to obtain a complete list of third-party service providers used in the delivery of the Services, you may request one by contacting us at accounting@kigitz.com. If you wish to be excluded from specific third-party data practices, or if you do not want your data or personal information used for training purposes by a third-party provider, you should contact us to discuss available options, including alternative workflows or opt-out mechanisms where available.

As of the date of this Privacy Policy, Kigitz uses Anthropic’s Claude as one of its AI model providers. You can learn more about how information shared with Claude is used by Anthropic by visiting https://privacy.claude.com/en/.


9. Data Retention

We keep your personal information for as long as it is required for the purpose for which it was collected. There is no single retention period applicable to the various types of personal information collected. Information related to the Services will generally be retained for the duration of the service relationship and for a reasonable period thereafter to comply with regulatory obligations, if applicable. That said, we make no representations or warranties, express or implied, that your data or information will be maintained, preserved, or made available to you on a continuous or uninterrupted basis, whether during or after the term of any services agreement or otherwise. We are not responsible for storing, backing up, or maintaining your data or records, and you acknowledge that it is your sole responsibility to maintain independent copies of any information or records you provide to us or that are generated in connection with the Services.

Kigitz may delete or dispose of data in its sole discretion following the termination of the service relationship, with or without prior notice to you.

Please contact us if you would like to request the deletion of any personal information we hold about you following the termination of our Services.


10. Your Privacy Rights

Canada (PIPEDA)

Canadian residents may request access to or correction of personal information and may withdraw consent subject to legal limitations.

United States (CCPA / CPRA)

California residents may request information regarding the collection or deletion of personal information.

European Union (GDPR)

Where applicable, you may have the right to access, correct, delete, restrict, object to processing, or request portability of your personal data.

Withdrawal of Consent

You may withdraw your consent to the collection, use, or disclosure of your personal information at any time by contacting us using the contact information below, subject to legal or contractual restrictions and on reasonable notice. Please note that withdrawing consent may affect our ability to provide certain Services to you. We will inform you of the implications of withdrawing consent at the time of your request.

Complaints

If you are not satisfied with our response to your privacy-related inquiry or concern, you may file a complaint with the Office of the Privacy Commissioner of Canada (www.priv.gc.ca) or with the applicable privacy regulator in your jurisdiction.

The Site may contain links to third-party websites. We are not responsible for their content or privacy practices. Please review their policies independently.


12. Children’s Privacy

The Site and Services are not intended for individuals under the age of 18. We do not knowingly collect personal information from minors.


13. International Data Transfers

As we may have servers, third-party providers, employees, and other parties we share your personal information with in locations both inside and outside of Canada, your personal information may become subject to foreign laws and foreign legal proceedings. Information may be processed or stored in jurisdictions outside your place of residence, including Canada and the United States, where privacy laws may differ. By using our Site or Services, you consent to the transfer and processing of your information in these jurisdictions.


14. Relationship to Service Agreements

This Privacy Policy supplements, but does not replace, any service agreement between you and Kigitz. In the event of a conflict between this Privacy Policy and a governing service agreement, the service agreement shall control.


15. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. Any changes to this Privacy Policy relating to the collection and use of information through the Site will take effect automatically upon posting to the Site with a revised effective date.

For clients receiving Services under an existing services agreement, we will provide written notice by email of any material changes to this Privacy Policy at least thirty (30) days before the changes take effect. Your continued use of the Services after the effective date of such changes constitutes your consent to the updated Privacy Policy. If you do not agree with any changes, you may terminate the Services in accordance with your services agreement prior to the effective date of the changes.

Changes that do not materially affect how we collect, use, or disclose personal information in the context of performing Services may take effect upon posting to the Site without separate notice.
